POSITION DETAILS

Job Title: Appointment Scheduler


Status : This is a full-time, year-round, benefits eligible position.

Classification : Non-Exempt - Hourly

Schedule : M-F

Location : This is an in-office position, primarily based at our Avon location.

Pay Range: $21.00-$24.00 / hr based on experience

POSITION OVERVIEW:

The Appointment Scheduler is responsible for coordinating patient schedules and appointment times for patients and physician teams. This role involves gathering necessary patient information, sending patient registration paperwork via email or fax, and accurately entering data into our systems. The ideal candidate will be an excellent communicator, able to interact courteously and professionally with individuals at all professional levels and will help foster extraordinary customer service experience for patients of The Steadman Clinic.


CORE RESPONSIBILITIES:
  • Coordinate clinic appointments for new patients, rechecks, follow-ups, and referrals, ensuring all appointments and cancellations are accurately entered into the scheduling system.
  • Enter new patient information into the system and ensure all necessary paperwork and authorizations are processed via email, fax, or mail in a timely manner.
  • Manage and respond to information requests from worker's compensation adjusters and case managers, maintaining clear and efficient correspondence.
  • Maintains knowledge of physician preferences and availability; maintain physician and staff schedules and availability for appointments in scheduling system.
  • Work collaboratively as part of a centralized team, coordinating the schedules of several physicians to ensure smooth operations.
  • Communicate effectively with teams to ensure physician scheduling requirements are met and any changes are promptly addressed.
  • Demonstrate a thorough understanding of patient privacy rights and ensure compliance with all confidentiality regulations.
  • Maintain confidentiality for all sensitive medical, financial, or other confidential information, whether in printed, electronic, or verbal form, to protect patient privacy.
Perform other related duties as assigned.

Requirements

MINIMUM QUALIFICATIONS
  • High school diploma, GED or similar work experience required.
  • Two years experience preferred working in customer service, scheduling, or healthcare.
  • Personal characteristics which include flexibility, enthusiasm, effective interpersonal and communication skills.
  • Proven ability to multitask and prioritize in fast passed environment.
  • Experience with Microsoft Outlook.
