Job Title: Stone and Jewelry Inventory Coordinator

Compensation: $60,000 annually
Role Overview
The Stone and Jewelry Inventory Coordinator is responsible for end-to-end management of all gemstone inventory and client stones, ensuring timely processing, accurate tracking, and exceptional client service. This role serves as the primary liaison with stone cutters and manages sample and client stones in both physical and digital systems. This role also supports our client support and design team with internal and external inquiries related to stones.
Core Responsibilities
- Liaison with stone cutters: place orders, track shipments, and coordinate transfers.
- Quality inspection & recut coordination: visually inspect arrivals, document defects, and direct
cutters on necessary recuts.
- Stone approval videos & client communication: record/catalog stone videos in Dropbox, email
approval requests, and manage follow-up until client sign-off.
- Stone allocation & repairs: assign stones to client orders, samples, or inventory; oversee repair
workflows and keep clients updated.
- Issue resolution: proactively address unexpected stone-related issues to maintain production
schedules and quality standards.
- Receive, sort, and label incoming stones (client vs. sample).
- Log all stones in Monday.com (status, weight, shape, location, vendor, photos).
- Organize permanent trays by client, urgency, or sample type.
- Ensure digital records mirror physical inventory; escalate discrepancies immediately.
- Prepare, transport, and present stones for in-person design showings.
- Respond to inquiries from sales, production, vendors, and clients about stone availability and
specifications.
- Identify and implement enhancements (dashboards, checklists, barcode labeling).
- Partner on automation and mandatory-field workflows within Monday.com.
Qualifications & Skills
- Preferred experience: 2+ years in gemstone inventory management, stone procurement, or a related
role.
- Attention to Detail: Exceptional organizational skills to maintain physical and digital inventory.
- Communication: Clear, proactive liaison skills with cutters, vendors, and clients.
- Physical Requirements: Ability to handle and transport trays of stones safely; moderate lifting.
- Problem-Solving: Proactive approach to process improvements and exception handling.
- Personal Attributes: Highly organized, reliable, and customer-focused with the ability to prioritize
under pressure.
