Personal & Professional Executive Assistant to Commercial Real Estate Executive & Investor | Board Member | Entrepreneur

The Role:

We are seeking a sharp, seasoned, and exceptionally detail-oriented Executive Assistant to support a high-performing executive and investor with a fast-paced schedule and diverse responsibilities. This role demands sound judgment, discretion, and the ability to anticipate needs while executing in alignment with the executive’s established systems and preferences.

 

You will manage daily logistics, streamline communication and information flow, and ensure nothing falls through the cracks. The goal is to bring structure to complexity and protect the executive’s time so they can remain focused on high-value work such as deal-making, strategic investment, and relationship development.

 

This role will be guided by the EOS® Assistance Track—emphasizing strategic delegation, schedule optimization, and proactive task management. You’ll play a key role in supporting communication flow and decision-making processes, helping the executive stay focused on high-value work.

About the Executive:

The executive is a highly accomplished entrepreneur and investor in commercial real estate brokerage and private equity real estate. He leads two thriving companies—one focused on high-performing brokerage services, the other is a Denver-based investment firm specializing in multifamily and commercial real estate assets across Colorado. Known for his sharp business instincts, strong leadership, and relentless drive, he operates at a fast pace and expects the same level of precision and accountability from those around him.

 

In addition to his business ventures, he serves on the board of one of the largest privately held banks in America, mentors emerging leaders, and is actively involved in high-level executive peer networks. He thrives in a structured, efficient environment and relies on an executive assistant who can anticipate needs, uphold operational excellence, and execute with speed, accuracy, and discretion.

Key Responsibilities:

Executive & Business Support

  • This role will be guided by the EOS® Assistance Track—a system designed to help executives stay focused on their highest-value work through strategic delegation, streamlined communication, and daily alignment with their assistant
  • Manage two high-volume calendars with accuracy and foresight; protect the executive’s time and schedule with strategic awareness
  • Oversee and manage two email inboxes, filtering and flagging key items, and ensuring timely follow-ups
  • Coordinate all aspects of travel (domestic and international)—flights, hotels, cars, detailed itineraries—and adapt swiftly to changes
  • Develop comprehensive After-Action Reports following executive travel and key events, capturing successes, opportunities for improvement, and all follow-up actions such as thank-you correspondence, gift-giving, or strategic next steps
  • Prepare materials and briefing documents for meetings; ensure all necessary information is provided in advance
  • Provide end-to-end meeting support, including post-meeting follow-up tracking and accountability
  • Maintain organization of files and records in Dropbox; uphold file integrity and easy access
  • Handle invoice payments, reimbursements, and expenses in coordination with the accounting teams
  • Regularly update and organize Outlook Contacts using directories from internal companies and external executive networks
  • Manage and securely store all personal and professional login credentials
  • Track all tasks and deadlines; ensure the executive has what he needs, when he needs it

Financial Coordination

  • Monitor financial reports for variances, review with executive, and relay changes to the accounting team
  • Track capital calls, distributions, and updates to ensure timely action and proper filing
  • Track tax return and K-1 progress by maintaining a centralized log of filings and following up with CPAs and sponsors to ensure timely receipt and reporting
  • Communicate with CPA, wealth manager, and accounting and legal teams—ensuring follow-through on deliverables

Personal Executive Assistance

  • Schedule personal appointments, workouts, and wellness-related services
  • Track household and vehicle maintenance needs, schedules, and vendor coordination
  • Order supplements, personal items, and specialty products
  • Purchase and wrap both client and personal gifts for holidays, special occasions, and events
  • Track and manage important personal dates (anniversaries, birthdays, renewals, appointments)
  • Coordinate personal travel logistics, including hunting trips and other recreational activities
  • Handle miscellaneous personal errands and responsibilities as requested

Required Qualifications:

  • 5-7 years of experience supporting a fast-paced, high-level executive or entrepreneur
  • Familiarity supporting both professional and personal needs at a high level
  • Mastery of Microsoft 365 Suite (Outlook, Excel, PowerPoint) and Dropbox
  • Proven ability to manage a wide range of responsibilities with precision and consistency
  • High-level written and verbal communication skills; polished, clear, and direct
  • Demonstrated discretion and sound judgment handling sensitive information
  • Ability to execute tasks to specification, with a strong respect for process and direction
  • Superior attention to detail, task tracking, and follow-through
  • Familiarity with the Entrepreneurial Operating System® (EOS®) or willingness to quickly learn and operate within its structure and tools
  • Background in commercial real estate, private investments, or accounting/financial services a plus
  • Interest in or experience with AI tools and automation to streamline workflows, improve productivity, and support a high-efficiency work environment
  • Experience coordinating across executive teams or with external financial professionals a plus
